Arts Center Class Policies

By enrolling in Art Center classes, workshops and participating in our events, you automatically agree to these policies.

Attendance- We encourage students to attend all scheduled art classes. While occasional absences are understandable, instructors cannot extend classes or provide additional make-up time for individual absences. Our instructors submit schedules months in advance, and classes run according to that plan. Instructors will make every effort to help students catch up quickly when they return.

Refunds & Cancellations

Our classes run based on enrollment, as agreed upon with instructors. We kindly ask students to be present for their art classes. We do not prorate class costs for days you will miss.

  • Refunds: A two-week notice is required for a refund, which will be issued minus a cancellation fee.

  • Transfers: In cases of emergency or schedule conflicts, we encourage students to transfer tuition to a different class when available.

  • Non-Refundable Classes: Certain classes may not allow refunds due to materials or special arrangements.

Health & Wellness

If you or your child are sick, please stay home. Healthy students are better able to focus on their art and help keep the classroom safe and enjoyable for everyone.

Weather Policy (Elkins, WV)

Classes are scheduled months in advance and will run as planned unless an instructor announces a cancellation.

  • Instructor Notification: If severe or inclement weather requires cancellation, your instructor will notify students directly and arrange a make-up session.

  • Reminder: Do not assume classes are canceled based on weather conditions—wait for official notice.

After School Art Program Policies

  • Snow Days / E-Learning Days: After School Art will not meet if public schools are closed or operating on e-learning days.

  • Early Dismissals: Program will still run; however, transportation is parent drop-off only (no buses).

  • Sick Students: Please do not send sick children to class. Sick students will be sent home, and parents will be called for pickup.

  • Drop-Off: Parents must walk younger children into class. The Arts Center is not responsible for children walking to/from class alone.

  • Communication: 99% of notices are sent via the Remind App. Parents must register for the app to receive updates.

Behavior Policy

The Arts Center fosters a safe and welcoming environment. We expect students to be attentive, respectful, and cooperative.

  • Disruptive behavior that affects the safety or learning of others will not be permitted.

  • Teachers will first address issues directly with the student, then the parent.

  • Continued disruption will result in a meeting with parents and the Executive Director.

Photo Release Policy

Purpose: This policy explains how the Randolph County Community Arts Council (The Arts Center) may use photographs and visual media of students, instructors, and volunteers. It ensures use aligns with the mission while respecting individual privacy.

General Consent: Participation in Art Center activities grants permission for photographs and video to be used for promotional, educational, and informational purposes.

Use of Photographs:

  • Internal Use: Organizational records, grant reports.

  • External Use: Website, social media, newsletters, press, annual reports, and promotional materials.

Privacy & Confidentiality:

  • Personal identifiers (e.g., full names, locations) will not be used without additional consent.

  • When names are included, they will be used respectfully.

Opt-Out: Individuals may decline use of their image or withdraw consent at any time by contacting the Executive Director at 304-637-2355.

Credit: Whenever possible, the Arts Center will provide proper credit to photographers, artists, and students.
